How to Get Help with Your Proposal

We are automatically informed about your intent to write a proposal when you submit the Funding Initiation Form (FiF) via the FiF distribution mail and we will contact you in order to discuss what kind of help you may need. The earlier we get the FiF, the earlier we can support you.

What About the Budget?

The proposal budget has to be approved by the budget support you get allocated once the FiF has been signed.
If you need help with budget estimates to finish the FIF, please write a mail to the Project Support and we will find someone who can assist you.
You cannot get any help with the proposal budget if you have not submitted a FiF.

The Funding Initiation Form (FiF)
The Funding Initiation Form is an agreement of procedures between the Project Support team, management support, Head of Division and Head of Department.

The Pre-award Process

1) You have an idea

2) You fill out the FiF and discuss it with your Head of Section

3) Approval of FiF

3A) You send the filled out FiF as a PDF to the distribution mail

3B) Your Head of Division (HoD) will assess your FiF, and if needed return the FiF to you with comments

3C) Should the HoD not find the FiF sufficient or return it to you with comments, please resubmit the FiF via the          distribution mail

3D) In case other divisions see an interest in participating in the proposal they contact HoD

3E) HoD signs the FiF and forwards it to project support for processing

4) FiF processing

4A) Project support will process the signed FiF and inform you, as the project manager via e-mail, that your proposal has been approved

4B) The approval triggers that your proposal is added to the department pipeline list

4C) And this gives you access to, and initiates the pre-award writing support

5) You can work on the funding proposal

5A) Combined with the Pre-award Support and the Budget Support the work on the proposal materializes

6) Signatures (if required by the funding agency only)

6A) If the funding agency requires signatures from the Management on the proposal, these documents must be sent to the Project Support at least 3 days prior to the call deadline

6B) The Project Support will collect the requested signatures and send them back to you

7) Submit proposal

7A) The approved FiF allows you to submit the proposal under at set of budgetary conditions:

  • The external funding rate (%) and overhead percentage is not decreased compared to the approved FiF.
  • The approved budget for own financing is not exceeded by more than 25 % or a maximum of 1.000.000 kr.

obs. If any of the above conditions are not met – a new approval is needed from HoD and it is mandatory that the final budget is approved by the allocated budget support.

8) Send the final submitted proposal, internal and external budget and other relevant documents to the Project Support so we can journalize it correctly in DOCX

9) Send the proposal reply (granted or rejected) to the Project Support

10) If your project was granted, you will be allocated a Post-award Support. If it was rejected, we will journalize the rejection in DOCX

If you plan to resubmit your proposal, please submit a new FiF
